Job Description

We are currently looking for an administrative assistant as a support force to an executive. The ideal candidate is a proactive problem solver with exceptional communication skills and meticulous attention to detail. This individual must have experience working in a virtual environment, performing administrative tasks, and supporting executives. Due to the dynamic nature of management, we expect administrative assistants to be flexible and consistent while maintaining a high level of system and operational confidentiality.

Objectives of this role

  • Primarily supports the CEO and provides additional support to members of the management team.
  • Ensures that company goals and objectives are met and operations run efficiently.
  • Maintains and refines internal processes that support senior leaders across the company and coordinates internal and external resources to expedite workflows.
  • Manages employee communications by liaising with internal and external company leaders.
  • Plans and organizes work to ensure senior management priorities are met, organizational goals are met, and best practices are met.

Responsibilities

  • Manages the CEO’s professional and personal schedules, including agendas, emails, emails, phone calls, customer management, and other corporate logistics.
  • Coordinates complex schedule and calendar management, as well as content and information flow to senior management.
  • Manages senior executive travel logistics and operations, including accommodation, transportation, and catering.
  • Provides administrative and clerical support such as typing, dictation, spreadsheet creation, faxing, and file system and contact database management.
  • Organizes team communication and plans events, both internal and external.


Required Skills and Qualifications

  • Minimum of four years of virtual experience directly performing administrative duties for a senior executive.
  • Excellent written and verbal communication skills.
    Strong time management skills and the ability to organize and coordinate multiple concurrent projects.
  • In-office productivity tools and aptitude for new learning programs and systems.
  • Flexible team player willing to adapt to change and not afraid of challenges.
  • Ability to maintain confidentiality of relevant information to the company and its employees.
